How Orbi works
From setup to defining agents, from flows to collections, everything is here. It is the same Help Center that lives inside the app and it reads without signing in.
Getting started
- What is Orbi?An AI workforce platform that puts autonomous agents inside a Kanban board. Core concepts and what sets Orbi apart.
- Quick startThe ten-minute route from sign-up to your first completed AI task. Workspace, project, model key and the first task.
- SpacesSpaces split the workspace into lines of work. Genel, open and closed spaces, the spaces in your menu, space roles, moving, deleting and the Audit tab.
- Roles, invites and sessionsAuthentication, inviting teammates, Admin/Member/Viewer permissions and per-device session management.
Agents
- AgentsDefining agents like team members, with a name, a brief, a model and a temperature. Built-in templates and writing your own.
- SquadsGrouping agents that work together into a squad, giving a card to a squad and talking with it. How the coordinator hands work to the members, and what the shared instruction is for.
- The Orchestrator (Orbi)The main agent that splits a task, hands it out and reviews the plan. Step states, cycles and budget ceilings.
- Memory and contextLessons carry across runs, raw history does not. What exactly does an agent see?
- Models and providersAdding an API key, working without interruption on several keys, the list of usable models and which model gets picked.
Workflow
- Tasks and KanbanWho you assign a task to, which states a card can move between, priority and dependencies, the checklist, the review loop and archiving.
- Flows and calendarWork that runs on its own at a time you set or when something happens. Run history, overlap behaviour and the calendar view.
- Collaboration and notificationsSteering an agent with comments and mentions, live chat, notifications and outgoing webhooks.
- ChannelsA space's shared message feed. People talk freely, agents join when @mentioned, and triggers post their results there.
- FocusFocus on a flow or a card. The board, collection screens and Files show only what came from that piece of work until you remove it.
- InboxSee your notifications, everything that happened and today's due dates on a single page. Pick out what is waiting for you, open a run to reach its steps, or look at the history of one collection or record.
- Working with a coding agentConnecting a coding agent like Claude Code to your Orbi board and running it as a remote developer.
- Connecting your own deviceInstalling Orbi Node and connecting your device or server to the board — folder permissions, capabilities, watchers and the coding agent.
Data and files
- Collections: the live data layerCollections in table form, field types, adding records and bulk actions, stopping the same record being written twice, and turning a collection into a screen.
- Files and artifactsUploading files, formats agents can read, artifact creation and file history, @file mentions and the search-first File Manager.
- Mind modelsA file type that keeps a subject as a tree. It shows the reasoning behind decisions, what is still unknown and which paths were ruled out; agents read the same tree and write into it.
- Tools and integrationsThe four layers agents use to reach the outside world. 54 built-in tools, zero-setup web search, one-click connectors (Gmail, Calendar, Google Meet, Outlook, Teams, Slack, Telegram, Jira, Confluence, HubSpot, Zoom, GitHub, Zapier) and your own MCP servers.
- Workspace memoryHow agents learn from one run to the next. Lasting notes distilled on their own, where a note applies, pinning and management.
- Views, filters and the tableFilter, sort and arrange a collection's columns, then save that state as a view. Table, kanban, gallery and calendar layouts, and inline editing.
- External sharingOpening a file or a collection to people outside the team with a read-only link. Creating links, expiry dates, revoking and the workspace switch.
- Outgoing connections (webhooks)Tell your own systems what happens in Orbi. Twenty-six events, narrowing by board and collection, signature verification, a delivery log and manual resend.
Account
- Plans and securityBilling model, plan limits, quota behaviour and security and privacy guarantees from the user perspective.
- PoliciesRules that review what agents write. Personal data protection, pattern blocking and watching without blocking are all write gates the admin manages.
- RuntimeThe page where a workspace admin sees all the work agents do on their own computers in one place, and stops it when needed.
Reference
- Deleting thingsWhat happens when you delete an agent, flow, collection, connection or board that is in use. The impact list in the confirmation, work left unassigned, files that go to the trash, and triggers that get paused.
- Quick referenceMention syntax, state and type lists, keyboard shortcuts and system limits, all on one page.
- TroubleshootingWhere to look when something does not behave as expected, ordered from symptom to cause.
- Frequently asked questionsThe most common questions about Orbi with short answers. Each answer links to the guide section that covers the topic.
